Role overview
Our team is globally distributed, fast-moving, and passionate about solving complex infrastructure challenges. As we grow, we’re looking for an experienced and proactive Office Administrator to take ownership of our Vilnius office and support internal operations across the organization.
As our Office Administrator, you’ll be the go-to person for all things related to the physical workspace, employee equipment logistics, company swag, internal events, and day-to-day operations. This role is based in our Vilnius office, with a hybrid setup, and includes responsibilities across both local and global operations.
You’ll help create a smooth, organized, and welcoming experience for our team - whether they’re working from the office, remotely, or visiting from abroad.
Responsibilities
- Oversee day-to-day operations of the Vilnius office, including office supplies management, workspace setup, and coordination with vendors.
- Support operations at other CAST offices (e.g., India, Israel), primarily in WeWork and similar coworking spaces - both current and planned locations.
- Coordinate short-term coworking and meeting spaces globally for team gatherings and client meetings.
- Manage global procurement, delivery, and return processes for office and home equipment setups.
- Handle global equipment insurance matters, including coverage, claims, and exchanges.
- Maintain and update global equipment and asset inventory.
- Manage swag inventory, including ordering and distribution to team members.
- Assist with employee onboarding and offboarding, including preparing welcome kits and other requests. .
- Act as the primary point of contact for internal operational inquiries and day-to-day support needs.
- Provide logistical and coordination support for company events, both large and small.
Requirements
- You have previous experience as an Operations Assistant, Office Manager, Workplace Coordinator, or in a similar operations/admin role
- You’re fluent in English and Lithuanian, both written and spoken (any other language is always a plus)
- You’re proactive, organized, and love bringing structure to chaos
- You genuinely care about people and building a welcoming, well-run workspace
- You’re a fast learner and comfortable juggling multiple tasks and priorities
- You have excellent interpersonal and communication skills;
- You’re a team player who’s hands-on, practical, and not afraid to try new things;
- Experience with tools like Google Workspace, Slack, BambooHR, Excel (Navan, Expensify, Gusto, and/or Rippling is a plus);
